Minimum Education and Experience
Bachelor’s degree and five years of office administration or project management experience including two years at an Administrative Assistant I level or an equivalent combination of education and experience.

Essential Duties and Responsibilities
Administrative: Monitors inventories of supplies for office administration and process purchases accordingly. Assist in processing all events and internal receipts for approval ensuring appropriate internal controls are met in the execution of all departmental administrative duties. Coordinates travel authorizations, travel packets, travel vouchers/reimbursements, travel expense tracking, Audits, etc.
Program and events support: Provides support for room reservations for ICP events, copy center requests for brochures and flyers, facilities management work orders, catering orders, communication with vendors for event rentals, buses, gather quotes and arrange payments, set up/check-in support for large events, arrange parking permits for guests. Assists in collecting Release and Indemnification Agreement and Medical Information and Release forms.
Human Resources: Assists in the hiring process for staff and student worker positions, onboarding, and access requests for all new staff. Coordinates checkout process for ICP staff leaving.
Welcome desk: Provides customer service for the reception desk.
Records Retention & University Compliance: Establishes and executes a plan for records retention, work with ICP staff to ensure records are kept/destroyed appropriately.
