The Contract Admin team is one of four separate teams in the Sales and Service Operations Center (SSOC) supporting our stakeholders and customers through the commercial operations process. The team in the SSOC is forty-one team members, with nine employees on the Contract Admin team. The environment is fast paced, team-oriented, and offers diverse work to the team members based on customer’s contracting needs.

We are currently seeking a highly organized and meticulous Contract Specialist to join our Contracts Administration team. In this role, you will be responsible for handling a variety of tasks, including document requests, assisting with solicitation responses, and compliance requests. This position offers excellent potential for growth and is ideal for individuals looking to expand their contracting expertise. Strong communication skills are essential for effective collaboration with both internal and external customers, ensuring timely project completion. The ideal candidate should be proactive, self-motivated, and capable of working diligently under tight deadlines.

Responsibilities:

• Possess basic knowledge of contracting concepts to support the team and meet deadlines in a fast-paced commercial environment.
• Support Contract Administration with requested document preparation, including redlines and edits to various types of documents.
• Familiarity with reviewing solicitation/bid requirements and appropriately respond to applicable topics.
• Assist Contract Administration regarding requests for Field Service management and Environmental Health and Safety (EHS) to review and ensure compliance with Customer Safety documents, Site Access Requirements, and other related contractual obligations.
• Assist with completion of standard Government Representation and Certifications and other government required forms.
• Support requests for price lists, sole source letters, certification forms, questionnaires, insurance certificates, and other documents as assigned.
• Process incoming requests for the team from internal and external customers, ensuring our records stay synced and accurate.
• Monitor the team distribution email boxes for Purchase Orders, Portal Maintenance requests, inquiry’s, Solicitation/Tender notices and forward to applicable Sales and Service Operation Center teams, as applicable.
• Perform tasks related to maintaining the Portal. This includes tasks such as registering new users, setting up accounts, sending notifications to relevant parties, and ensuring the accuracy of Portal data.
• Assist direct Supervisor with Support Practical Process Improvement (PPI) methodology and participate in initiatives as required.
• Other duties as assigned.

Required Qualifications:

• HS Diploma or GED is required.

Preferred Qualifications:

• Preferred Bachelor’s degree or equivalent experience with office systems and customer service.
• Preferred two (2) years’ experience in related work.
• Proficient with Microsoft Office programs.
• Good judgment in balancing business and commercial needs and potential risks/exposures with customer requests.
• Detail oriented with a high degree of integrity, intensity and involvement.
• Mastery at organizational skills and creating structure.
• Demonstrated ability to work within tight schedules and under pressure, both independently and as part of a team. Strong interpersonal skills with a collaborative / integrative style of working to reach common goals and objectives.
• Must be flexible and receptive to change in the workplace.
• Good communication skills both written and oral.
